XXX Company is regarded as the first choice alternative provider of residential first mortgages and has developed a market niche by lending to borrowers who may not meet all the lending criteria of the major financial institutions. This burgeoning market consists largely of self-employed entrepreneurs, a sector which has grown significantly in recent years and now represents 18% of the Canadian workforce. With prudent lending policies, an extensive mortgage broker network and strategic alliances with referral institutions,XXX is well recognized as a leader in its market niche.
XXX Company currently has 8,000 clients with over a billion dollars in its mortgage portfolio. It expects continued growth through 2003/04 with a projected client base numbering 12,000 with $1.5 billion under management.
Overview
XXX Company is inviting providers to submit proposals for an imaging solution that will allow for the storage of 100,000 + images on a database of 8,000 clients.XXX does not currently have any such solution or database, and expects the implementation of the necessary hardware and software such that it can be used and shared among geographically separated users on an NT platform.
XXXt's current network includes an array of servers distributed over long distances and connected by a Frame Relay solution. Companies responding to the RFP should be aware that it is the preference of XXX to implement its imaging solution by locating a server at the Toronto office within the existing network. The database and images would reside on that server. However, responding companies are encouraged to provide any tried and tested solution they wish.
Current:
Store 100,000 images on a server that is part of a WAN.
Future:
" The solution should allow for a XXX clerk to scan documents and attach them to existing files in the database.
" The solution should allow for the scanning of documents and the creation of new client files in the database.
Due Date
Noon - Friday, April 12th, 2002
XXX requests that all submissions be transmitted by email.
Proposal Structure
XXX requests that respondents begin their proposal responses here. For scoring purposes,XXX requests that responses be added after each question. Additional information may by added at the end of each module. As well,XXX encourages full and complete answers. Scoring is heavily dependant on the amount of meaningful content. Some sections may appear to have questions that have been answered elsewhere, the scoring model requires that all questions be answered.

" What is the full legal name of your company.
" Would you describe your company as an Application Service Provider (ASP).
" Where is your company head-office located.
" If there are offices other than the one listed above, where are they.
" Is your company part of a larger corporation.
" Are you a public company. If so, on what is your symbol and on what exchange is your stock traded.
" If you are private, who owns the company. Are the original founders still operating the business.
" Please provide a brief history of your company including any location changes and number of current employees. How many people are on the sales staff, including those that support it.
Database
" In creating a client database for XXX, what management system would your company use? Did your company develop this sofware in-house? Please be specific.
" If the DBMS was created in-house, please describe when and how many times it has been implemented for paying customers.
" Please describe the solution with specific reference to software and the hardware that will be used to develop the database. This is the section where we ask that you fully explain the process front to back.
" How will your company scan and store approximately 100,000 images. This response should provide XXX with a solid understanding of how the solution will be implemented.
" How many weeks would it take your company do complete the imaging and storage.
" XXX Company would like to hire a temporary staff to scan and store the images on its own. Would it be possible for XXXt to purchase the software, and all associated licenses from your company and then complete the Imaging itself.
" If XXX were to purchase the software and complete the imaging itself, would it be advisable to have a consultant from your company assist in the imaging process. Why?
Future
" How is the database managed. Describe the details of the sort of Service Level Agreements that our company can expect (if any).
" Can XXX staff add images to the database.
Fee structure
" What is your fee structure. How does your company get paid: Does it charge per item scanned etc. Please offer a preliminary cost calculation for this project. One time costs including software, licenses structure (40 users), hardware (not including the server, unless your company insists on providing that server), scanning related labor.
